This policy explains what we collect when you use this site or book a cleaning with us, why we collect it, who we share it with, and the choices you have. It is written to be read, not to be survived.

Who This Policy Covers

Kiwi Cleaning Services LLC ("Kiwi Cleaning", "we", "us") operates this website and provides residential and commercial cleaning in the cities listed on it. This policy covers the information we handle through the website, the quote flow and customer portal, our email and text messages, and the calls and messages you exchange with our team.

It does not cover how other companies handle your information. If you follow a link from this site to somewhere else, that company's policy governs what happens next.

Information You Give Us

Most of what we hold about you, you typed into a form or told us directly.

  • Contact details — your name, phone number and email address.
  • Service address — the street address, unit, city, state and ZIP code of the property to be cleaned. The address field offers suggestions as you type, which means the characters you type into it are sent to a third-party address-autocomplete service to return those suggestions.
  • Job details — service type, how often you want the visit, the size and layout of the property, access instructions, pets, and anything you write in the notes field.
  • Photos and video — images or clips of the areas you want cleaned, when you choose to attach them to a quote request.
  • Messages — the content of emails, text messages, portal messages and voicemails you send us, and our replies.
  • Account details — the email address and password you set if you create an account. We never see your password; it is handled by our authentication provider.
  • Payment details — card information is entered directly with our payment processor. We receive the amount, the date, whether it succeeded, and the card brand and last four digits. We never receive or store your full card number.

Information We Create While Serving You

Doing the work produces records of its own: your quote and its reference code, scheduled visits, completed jobs, invoices and payment status, photos attached to a job in your portal, and internal notes our team writes about a job so the next crew knows what you asked for.

Information Collected Automatically

When you browse the site, our product-analytics tooling records page views and a small set of product events — that a quote form was started, that a file was attached, that a quote was submitted. Each event carries which city's pages you were reading, which language you were reading them in, and what type of page it was.

Our hosting and application logs also keep standard technical information — IP address, browser and device type, the page that referred you, and timestamps — which we use for security, debugging and abuse prevention.

We deliberately keep personal information out of analytics. Names, phone numbers, email addresses, street addresses and photos are never sent as event properties; a quote-related event references a short code such as Q-1234 instead. One-time access tokens and email addresses are stripped out of page URLs before any event is sent.

How We Use Your Information

We use what we collect to:

  • prepare and send your quote, and answer questions about it;
  • schedule visits, plan crew routes and confirm arrival windows;
  • do the cleaning, and put it right afterwards if something was missed;
  • take payment, issue invoices and receipts, and keep the records a business is required to keep;
  • contact you about a quote, a booking, an invoice or your account, by email, text message, portal message or phone;
  • improve the site and the quote flow — mostly, finding the step where people give up;
  • detect and prevent fraud, spam and abuse, and keep the site secure;
  • meet legal, tax and insurance obligations, and resolve disputes.

We do not build advertising profiles, and this site carries no advertising or retargeting pixels of any kind.

SMS / Text Messaging Program

We use text messages to run jobs, not to blast offers. This section describes the whole program.

What we send. If you give us your mobile number and agree to text messages, we may send you automated messages: confirmation that we received your quote request; your quote, or a link to it; scheduling confirmations, reminders and crew-arrival notices; questions we need answered to finish a job; and billing or receipt notices. If you separately opt in to promotional messages, we may also send occasional offers — that is a second, distinct choice and it is never required.

How we get your consent. We ask for it, in writing, before we send anything. Consent is collected through a checkbox that starts unchecked and that you tick yourself, next to a disclosure that names us, describes the messages you will receive, states that message and data rates may apply, and gives you the STOP and HELP keywords. Agreeing to text messages is never a condition of getting a quote or buying a service from us.

What we keep as proof. Every opt-in and every opt-out is written to an append-only record: the phone number, whether it was a yes or a no, the date and time, the page and language you were using, the exact version of the wording you agreed to, an irreversible hash of your IP address (never the address itself), and a short form of your browser identification. This record exists so that we can show we had your permission, and so that a STOP can never be lost.

How often, and what it costs. Message frequency varies with the job — most customers receive a handful of messages per booking. Message and data rates may apply, depending on your plan. Mobile carriers are not liable for delayed or undelivered messages.

How to stop. Reply STOP to any message from us and we will stop; you will get one confirmation message and nothing after that. Reply HELP for help, or use the contact details at the bottom of this page. You can also ask any member of our team to remove your number. Opting out of text messages does not cancel your service — we will reach you by email or phone instead.

Text-messaging originator opt-in data and consent will not be shared with any third parties or affiliates for their marketing purposes.

Your mobile number and your consent record are used only to run the program described above. We pass them to our text-message delivery provider for the sole purpose of delivering a message to you, and to no one else for any marketing purpose — ours or anyone else's.

Cookies, Analytics and Session Replay

This site uses no advertising cookies and shares nothing with ad networks.

Analytics. We use PostHog, a product-analytics service, to understand how people move through the site. It stores an anonymous visitor identifier in your browser's localStorage — first-party storage belonging to this site, not a cookie shared across the web — so we can tell that two page views came from the same visit.

Session replay. PostHog can record a playback of a visit — scrolling, mouse movement and clicks — so we can see where a page confuses people. Every form input is masked before it leaves your browser: what you type into a name, phone, email, address or notes field is not recorded. We switch replay off entirely on the signup, password-reset, quote-claim and guest-quote pages, where a recording would carry a one-time link or a pre-filled email address.

Necessary storage. Signing in sets a session cookie so the portal knows who you are on the next page. That one is required for the site to work and cannot be switched off while you are logged in.

Your choices. Any browser will let you clear or block local storage, and any tracker-blocking extension will stop the analytics script from loading at all. Neither affects your ability to get a quote, book a cleaning or use the portal. Our analytics also honors your browser's Do Not Track signal where your browser sends one.

Service Providers We Share Information With

We use a small number of vendors to run the business. Each receives only what it needs to do its job, under a contract that forbids using it for their own purposes.

  • Cloud hosting and database — runs the site and stores your account, quotes, jobs, messages and uploaded media.
  • Payment processor — collects and processes card payments. Your card details go to them, not to us.
  • Address autocomplete — returns address suggestions while you type into an address field.
  • Email delivery — sends quote confirmations, receipts and account emails.
  • Text-message delivery — sends the messages described above, when you have opted in.
  • Product analytics — the site-usage measurement described above.

We may also share information with our accountants, insurers and lawyers where that is necessary, and with a buyer if the business is ever sold — in which case this policy travels with the information until it is replaced by one you are told about.

Other Situations Where We May Disclose Information

  • When you ask us to — for example, sending an invoice to a landlord or property manager you name.
  • When the law requires it — a subpoena, a court order, or a lawful request from a government agency.
  • To protect people or property — to investigate fraud or a threat, to enforce our Terms of Service, or to establish or defend a legal claim.

We Do Not Sell Your Personal Information

We do not sell personal information and we do not share it for cross-context behavioral advertising. We have not done so in the twelve months before the date at the top of this page, and we have no plans to start.

Stated separately because it is asked separately: text-messaging opt-in data and consent are never shared with third parties or affiliates for their marketing purposes.

Photos and Video You Send Us

Photos and video you attach to a quote are stored with that quote and used to price and plan the work. They are served through short-lived signed links rather than public URLs, and access is limited to your account and the staff working on your job.

We will not publish a photo of your property, or use one in marketing or on this site, unless you have given us permission in writing for that specific use. You can ask us to delete uploaded media at any time.

How Long We Keep Information

We keep information for as long as we need it for the purpose we collected it, and then for as long as the law requires. In practice:

  • Quote requests that never became a booking — up to 24 months, then deleted or stripped of anything that identifies you.
  • Accounts, jobs, invoices and payment records — for the life of the account, and then for the period tax and accounting rules require (currently at least seven years after the last transaction).
  • Text-message consent and opt-out records — at least five years after consent is withdrawn. These are the records that prove we had permission, so they outlive the use of the number itself.
  • Uploaded photos and video — for the life of the related quote or job, or until you ask us to delete them.
  • Analytics events and session replays — for the retention window configured with our analytics provider. Replays are the shortest-lived data we hold; aggregated, non-identifying counts may be kept longer.
  • Technical and security logs — normally 30 to 90 days, longer if we are investigating something.

If a dispute or a legal claim is open, we keep whatever relates to it until it is resolved.

How We Protect Information

The site is served over HTTPS. Access to customer data is limited to staff who need it, and the database enforces row-level rules so one customer's records cannot be read by another. Uploaded files are reachable only through short-lived signed links. Payment card details never touch our systems.

No system is perfectly secure. If we discover a breach affecting your personal information, we will notify you and the relevant authorities as required by Texas law.

Your Rights and Choices

Wherever you live, you can ask us to:

  • tell you what personal information we hold about you;
  • correct anything that is wrong;
  • delete information we are not required to keep;
  • send you a copy of the information you gave us;
  • stop contacting you for marketing — by text, email or phone.

Email us using the details at the bottom of this page. We will confirm the request is really coming from you before acting on it, and we will respond within 45 days. We will never charge you or treat you differently for exercising any of these rights.

Texas residents. The Texas Data Privacy and Security Act gives you the rights listed above, plus the right to appeal if we decline a request. To appeal, reply to our decision and we will review it and answer you in writing within 60 days. If we deny the appeal, you may complain to the Texas Attorney General.

Residents of other states with comprehensive privacy laws have similar rights. Rather than sorting people by state, we apply the list above to everyone who asks.

Children's Privacy

This site is for adults. We do not knowingly collect personal information from children under 13, and our services are not directed at them. If you believe a child has given us information, contact us and we will delete it.

Changes to This Policy

We update this policy when the way we handle information changes. The date at the top shows when it last changed. If a change is significant we will say so on the site and, where the law requires it, ask for your consent again. A material change to the text-messaging program is always disclosed before it takes effect.
